Important Program Information
We encourage you to review the following information with your child to ensure a successful and positive experience in our program. Please note, we continuously strive to improve our program and may make adjustments throughout the school year to better serve you and the students. We appreciate your understanding and flexibility.
Enrollment
Ensure all your child's information is accurate and up-to-date in Aeries, our student information system. Our after-school management platform, Attendly, pulls information directly from Aeries.
If your child transfers to a different school within the Beaumont Unified School District, please be aware that placement in the Expanded Learning Opportunities Program at the new school is not guaranteed due to potential full capacity and waitlists.
If you decide to withdraw your child from the program, please notify the liaison/site lead at your child's school.
Attendance
Please communicate any absences directly to the liaison or site lead at your child's school. Communication with the regular school day office does not automatically inform Educational Learning Opportunities Program of your child's absence.
Since the program is grant-funded, consistent attendance on scheduled days is important. Students should report promptly to the designated check-in location. For planned absences (e.g., appointments) and unexpected absences (e.g., illness, emergencies), please inform the liaison or site lead as soon as possible and complete an absence form.
For early dismissal, an early release form must be submitted to the liaison
Pick-up/Dismissal
Students must be picked up at the agreed-upon time indicated on your enrollment application.
Parents/guardians must sign out their child in the designated pick-up area using the Attendly electronic sign-out portal. Only adults 18 years or older listed as authorized pick-up persons in Aeries are permitted to pick up your child.
Please ensure all authorized individuals have a photo ID available at pick-up until staff become familiar with you. We cannot release your child without proper identification for safety reasons.
Update emergency contacts, emails, and phone numbers through your Aeries family portal. If you anticipate being late for pick-up, please notify the liaison or site lead as soon as possible.
If we have not heard from you within 15 minutes after the program closes, law enforcement may be contacted to ensure your child's safety.
Repeated late pick-ups, inappropriate behavior, or failure to meet attendance requirements may lead to your child's dismissal from the program.
Medication
If your child requires medication during the program, a written, complete, and updated Health Care Plan must be on file with the Beaumont Unified School District.
In an emergency, a healthcare provider will verify symptoms, and authorized staff may administer medication.
For potentially life-threatening situations, emergency services, a healthcare provider, and parents will be immediately contacted.
Emergencies
In case of an emergency at or near your child's school, you will be promptly notified via the ParentSquare app. Please ensure your contact information is current in both ParentSquare and Aeries.
In a medical emergency involving your child, their safety and well-being are our top priority. We will immediately contact you. If necessary, emergency medical services will be called, and a healthcare provider will assess and treat your child.
You will receive updates on your child's condition as soon as possible. Our staff are trained in emergency procedures and District protocols to effectively respond.
Incident Reports
An incident report will be filed for any incident, and parents/guardians will be promptly notified.
For minor or "questionable" injuries, you will be immediately notified by phone. For more serious injuries, you will be immediately contacted and, if needed, medical assistance will be sought.
Cell Phones and Personal Belongings
Students are not permitted to use cell phones during program hours. If a phone is seen or used without permission, it will be confiscated and returned to the parent at the end of the program day. Repeated, unauthorized use may result in further action.
We ask that students do not bring toys, electronic games, or other personal items to the program.
The Expanded Learning Opportunities Program and the Beaumont Unified School District are not responsible for lost, broken, or stolen items. District resources will generally not be used to investigate such incidents. However, the administration reserves the right to investigate at its discretion.
Discipline and Behavior
We expect all students to be respectful, responsible, and safe, following the same behavior expectations as during the regular school day.
Students who violate District or school rules may face disciplinary actions, including suspension or expulsion in accordance with Board policy.
Staff will communicate with parents about any emerging behavioral concerns and seek your partnership in addressing them. Temporary removal of a student may occur if their behavior poses a safety risk to others.
If a student's needs cannot be effectively supported within the program setting, they may be removed from the program for the remainder of the school year.
Program Components and Daily Activities:
Our daily activities are designed to provide a well-rounded experience:
- Academic Enrichment: Activities that support and enhance literacy, math, science, and technology
skills. - Social-Emotional Learning: Activities that develop self-regulation, resilience, teamwork, and
other essential social and emotional skills. - Civic Engagement: Opportunities to promote community involvement, social responsibility, and
leadership. - Nutritious Snack/Supper: All after-school participants receive a nutritious snack or supper provided
by Child Nutrition Services (CNS), meeting federal and state guidelines. Please ensure any food allergies or dietary restrictions are updated with CNS and in Aeries. Students may bring a personal drink and alternative snack (not to be shared).
Parental Support
Keeping your information updated in the Aeries parent portal is essential. We are committed to respectfully working with you. However, if staff experience a hostile environment created by any adult, an investigation will occur.
A cease and desist order may be issued as a reminder to maintain a safe and harassment-free environment on school grounds.
Lack of parental/guardian support, cooperation, or failure to follow program guidelines may result in your child's dismissal from the program.
